What we keep and what we destroy

This policy is quoted on the upload screen before you pay, so it applies whether or not you go on to send anything.

What a transmission record contains

The destination number, any recipient name you supplied, the source filename, the page count, submission and completion timestamps, the final result, the fax network and its transaction ID, the receiving station identifier where the network reports one, the attempt history, and the SHA-256 hashes of your original file and of the pages transmitted.

It contains no part of the document itself. A hash identifies a file without revealing anything about its contents.

Why the record outlives the document

The record is what you may need months later, and it is the part of this service you paid for as much as the transmission. Keeping your document alongside it would make the record marginally more useful and would mean holding a tax return or a medical form indefinitely. We keep the evidence and destroy the material.

Deletion is logged

Each destroyed object writes an audit entry recording the storage path, which artifact it was, its size and its hash. A sweep runs hourly and removes anything the primary timer missed. The audit entries are what make this policy checkable rather than a statement of intent.

Asking us to delete a record

Write to support@faxmydoc.com with the record ID. We will delete it and confirm. Note that this is irreversible and the record cannot be reissued afterwards — if you may need it, download it first.

Changes

If this schedule changes, the new schedule applies to documents uploaded after the change. A document uploaded under this policy is destroyed under this policy.
