Gmail cannot send a fax

Google has never built fax into Gmail and no extension or add-on adds it, because sending a fax requires placing a telephone call and a mail client cannot place one. What people mean by faxing from Gmail is an email-to-fax service: you email your document to an address with the fax number in it, a third party receives that mail and dials on your behalf. To fax something in your inbox, download the attachment — or print the message to a PDF — and upload it.

What an email-to-fax service is actually doing

You address a message to something like 2145550101@theirdomain.com and attach your file. Your document then travels as a mail attachment to Google’s outbound servers, across the internet to theirs, and into a mailbox on their side, where it waits to be picked up by the process that queues the fax. Some minutes later you get a reply saying how it went.

Two things follow from that shape, and they are mechanical rather than a matter of opinion:

Your document exists as a message in at least two mail systems — your own Sent folder and their receiving mailbox — and how long it sits in theirs is their retention policy, not a setting you control. Mail between servers is encrypted opportunistically: if the receiving server offers STARTTLS it is used, and if it does not, the message goes anyway.

And you cannot see the page before it is sent. Email-to-fax has no preview step, because there is nowhere in the flow to put one. If a photographed page thresholds to a black rectangle, or a form loses its right-hand column, you find out from the confirmation, or from the office that calls you.

Faxing an attachment from your inbox

Download it and upload it here. In Gmail on the web, hover the attachment and use the download arrow rather than Save to Drive — Drive gives you a file you then have to download anyway. On a phone, tap the attachment and use the download icon; the file lands in Files or Downloads and the upload control on this site will see it.

PDF, JPG, PNG and HEIC are all read as they are. The pages are converted and shown to you before any payment is taken, and the files are deleted 24 hours after the transmission completes.

Faxing a Gmail message itself

Open the message, use the printer icon at the top right, and choose Save as PDF as the destination instead of a printer. That gives you a PDF of the message including its headers — from, to, date, subject — which is usually the part that matters when an office has asked for correspondence rather than a document.

Check the result before uploading it. A message with a long quoted thread under it can print to a great many pages, and a fax is transmitted one page at a time over a telephone call.

What you get back

An email when the fax is submitted and another when it settles, and a dated transmission record with the destination number, the page count the receiving system acknowledged, the timestamps, the carrier’s transaction ID, and SHA-256 hashes of each file as we received it and of the assembled fax pages.

That last pair is the thing a reply email from an email-to-fax service does not give you: a way to tie the copy on your disk to the send. See what a fax confirmation proves for what the record does and does not establish.
